Technology Streamlining

You're Probably Paying for More Than You're Using

Technology Streamlining

Before we recommend a single new tool, subscription, or platform, we look at what you already have.

In our experience working with small businesses and startups, almost every organization has accumulated technology waste — overlapping subscriptions doing the same job, tools the team stopped using months ago, licenses that were never fully deployed, and platforms that were purchased to solve a problem that was then solved a different way. The bills keep coming. The waste keeps compounding.

Technology streamlining is often the first thing we do with a new client, and it frequently results in meaningful savings before we've proposed anything new. How is that for some good news?

What Technology Streamlining Includes

Subscription & Licensing Audit — We conduct a comprehensive review of every software subscription, SaaS platform, and licensing agreement your business is paying for. We map what each tool does, who uses it, how often, and whether it's necessary, then identify candidates for consolidation, downgrade, or elimination.

Tool Consolidation — Many businesses are using three or four tools that partially overlap in functionality when one well-configured platform could do the job better and more cheaply. We identify consolidation opportunities and manage the transition. This way, your team doesn't lose functionality in the process.

Google vs. Microsoft Evaluation — One of the most common sources of duplication we find is businesses paying for both Google Workspace and Microsoft 365 without a clear strategy for which platform is primary. We evaluate your actual usage and recommend a clear path to one ecosystem, or a deliberate, documented reason to use both.

Workflow Analysis — Sometimes the problem isn't the tools; it's how they're being used. We analyze your team's workflows to identify where technology is creating work instead of reducing it and recommend changes that simplify rather than add complexity.

Vendor Contract Review — We review your technology vendor agreements to identify unfavorable terms, auto-renewals approaching, and opportunities to renegotiate. Because we don't have relationships with these vendors, we have no reason to protect them.

Technology Inventory Documentation — Most small businesses don't have a complete, current inventory of their technology systems, subscriptions, and vendors. We build one — because you can't manage what you can't see.

What This Is Not

Technology streamlining is not a project designed to clear the way for us to sell you new tools. We don't have vendor partnerships, we don't earn referral fees, and we have no incentive to replace one subscription with another just to appear productive.

If your current technology is working well and your costs are reasonable, we'll tell you that. Our goal is a technology environment that is lean, effective, and aligned with how your business operates — not a clean slate that justifies a new purchase order.

Who This Is For

Technology streamlining is the right fit if:

  • You suspect you're paying for tools your team doesn't fully use — but you're not sure which ones or how much

  • Your software costs have grown over time without a corresponding growth in what you're getting from them

  • Your team uses too many disconnected tools and spends time working around the gaps between them

  • You want a clear, accurate picture of your technology landscape before making any new investments

  • You're preparing for growth and want to ensure your technology foundation is efficient before you scale it

Most clients are surprised by what we find. The first conversation is free.
